Optional permission to use customer footage

These policies include the agreed studio rules. Marked details are still being finalised before public bookings open.

Review draft — 1 October 2026. Owner confirmed that NDMS will ask before using customer footage for marketing. This is separate from permission to record/edit the customer's project and from the booking contract. The owner-selected operator is NORTH DEAN TRADING LTD; the material-specific fields and permissions still need completing before use.

Customer-facing request

We would like to use the specific material described below to promote North Dean Mill Studios. This is optional. Saying no does not affect your booking, price or service. We will not assume that the person who booked can give every participant's permission.

Permission is limited to the material, purpose, channels and period described. A new or materially different use requires a fresh request. We will not materially change the approved message or imply an endorsement beyond what you agreed.

You can withdraw consent by emailing hello@ndms.uk and identifying the material. Withdrawal does not make earlier permitted use unlawful. We will stop new uses and remove material from channels we control without undue delay. We cannot promise to retrieve screenshots, independent reposts or copies already distributed by others. Explain any specific platform/distribution limitations before requesting permission; do not promise an unrestricted right to continue using the material after withdrawal.

An identifiable participant's privacy permission does not automatically license the copyright in the recording, music or other assets. The customer/rights holder must authorise the intended use, and each identifiable participant must have an appropriate permission basis. Do not use footage of children through this adult template; use a separately reviewed safeguarding and permission process.

Staff process

  1. Ask only when a specific marketing use is proposed. Send the actual clip/still, intended caption, channels and duration for review.
  2. Obtain and retain separate, clear written/electronic responses from the relevant rights holders and participants. Silence, attendance, a booking checkbox or a general testimonial is not approval.
  3. Keep the approved material, permission wording/version, date, scope and evidence together with access restricted to authorised staff.
  4. Check permissions again before publishing, using paid advertising, re-editing materially or extending the agreed period.
  5. Log withdrawal, stop campaigns/new publication, remove controlled copies promptly and notify relevant processors where appropriate. Retain only proportionate evidence needed to handle the permission or a dispute.

CCTV is separate

The owner confirmed CCTV outside the premises and no CCTV inside the studio floor. Security footage is not customer marketing material. Do not use it for promotion under this release. The owner confirmed that the landlord manages the outside system. Obtain the landlord's responsible-controller details and notice, and direct visitors there for CCTV enquiries. Do not invent the landlord's retention period or claim that NDMS has access to footage without checking.
